Exhibit Policies and Procedures

Booth Rentals

Fees entitle each exhibitor to the following: Fabric Structures – Pavilions A, B, C, D, Farm Home Arts Royal blue and white dividers (8’ high backs, 3’ high sides) plus one 8’ table and 2 chairs per exhibitor.

All Exhibitors Receive

  • Janitorial service of aisles and public area
  • 24-hour security service during move-in, expo hours and move-out
  • Exhibitor lounges (four), complimentary coffee and donuts (check map for locations)
  • First Aid care during expo hours (EMT on duty during expo)
  • Complimentary forklift service

Table Coverings, Table Skirtings and Combustible Decorative Materials

The 2007 California Fire Code requires that all combustible decorative materials, including table covers and table skirting used in tents, canopies and assembly-type structures, be flame resistant as determined by procedures set forth in the code.

Exceptions to this rule include the following:

  • The display of sellable goods (items or goods that are being sold)
  • Educational materials and product brochures that are stored, distributed and maintained
    in an approved manner.
  • Live vegetation of an approved type.
  • Individual decorative items of a size and separated from others, as approved.

All table coverings and table skirting that is not inherently or obviously of flame-resistant material or fabric is subject to be tested and verified for this standard by an Inspector from the Tulare City Fire Department, anytime before or during World Ag Expo.

If the material used for the purpose of covering tables, displays, booth backdrops or booth decorating does not meet the minimum standards for flame-resistive properties as determined by the Tulare City Fire Department, the exhibitor will be required to remove all decorative material in violation, and replace it with an approved material. NO EXCEPTIONS. Any questions should be directed to Tulare City Fire Department at (559) 684-4305.

Digging…Before You Dig,You Must Contact North Office at Gate 6!

It is very important that all exhibitors who intend to drill, dig, trench, pour footings, install flagpoles on posts or disturb their space in any way must contact the North Office located at North Gate #6 to obtain written permission to do so. There is no cost for this—it is done for your safety. Failure to do so may lead to your injury, damage to your equipment or damage to World Ag Expo utilities. This is especially important now that the show grounds have power sources permanently installed.

Dogs

No dogs are allowed on the show grounds. This includes move-in, expo time and move-out. The only exceptions are Guide Dogs.

Entrance/Exit

Vehicles Pre-Expo

Entrance January 25 through February 8—Use North Gate 6.
Exit January 25 through February 8—Use South Gate 19.
Foot Traffic During Expo
Gates are opened by security for exhibitor personnel only from 6 to 9 a.m. Badges are required.

Vehicles During Expo

Use Gate #13 (east). Entrance and exits are limited to food services, emergency and news media
(vehicles only) during expo hours. Exhibitors with replaceable demonstration equipment or supplies
must enter after 6 a.m. and exit by 8 a.m. or enter and exit between 5 p.m. and 6:15 p.m. at Gate #13
(east).

Note: If you have special requirements, you must make prior arrangements with the Chief of Security.
He comes on duty at 4:30 p.m. daily and can be contacted at Gate #6 (north).

Last Day Vehicle Exit Instructions

No vehicles will be allowed to enter or exit World Ag Expo exhibit area until visitor parking
area is cleared and visitor vehicle traffic slowed enough to accept reverse flow traffic.

Entrance to exit staging area is through Gate #10, and Gate #12 only when authorized by the Tulare Police Department! Entrance into the exhibit area is through Gates #11 and #13. No exit is allowed at that point. Exit from exhibit area is at Gates #1 and #4 only. Entrance at this point is not allowed. All remaining gates remain locked.

Equipment leaving World Ag Expo under its own power has to wait until all streets and highway traffic have cleared as directed by the Tulare Police Department.

Warning to Equipment Operators

It will be dark when departing World Ag Expo grounds. Please check all road lights and slow-moving vehicle signs. If you have any questions regarding exit procedures, please contact East Area Office or refer to the World Ag Expo Thursday Exhibitor Newsletter.

Equipment Carry-Out Authorization

Exhibitors who need to remove equipment at the end of the day must complete an “Equipment Carry-Out Authorization Form.” This form is available at the Security office and must be presented to gate security each day as official authorization. Items can be removed from your exhibit space after 5 p.m., February 9 and 10, and must be returned to the exhibit area before 8 a.m. the following morning.

Note: No equipment that “materially” affects the “look” of the display may be removed during
expo hours.

Equipment Cleaning and Detailing

Information on vendors is available at North, South, East and West area offices.

Exhibit Set-Up

Exhibitors must be completely set up by 5 p.m. Monday, February 8, 2010. Failure to be in place by this deadline may result in the forfeiture of the exhibitor’s right to participate in future World Ag Expos. On inspection of expo grounds on Tuesday morning at 7 a.m., all vacant spots will be filled by companies on the waiting list.

Booth representatives are requested to remain with their exhibits daily until the public has vacated the grounds.

Exhibits MUST remain in place until 4 p.m., Thursday, February 11. NO EXCEPTIONS! NO WORLD AG EXPO FORKLIFTS WILL OPERATE ON THURSDAY.

Note: Companies using computers should have their own surge protection devices/attachments since the use of generators cannot guarantee against spikes.

In February, a substantial amount of condensation can occur. Please bring enough plastic to cover your booth at night. All exhibitors must be in place by 5 p.m. on Monday, February 8. Equipment and materials that cannot be hand carried, which arrive after that time, must wait until closing time Tuesday, February 9, to be brought into the exhibit area.

Inside Exhibitors

  • Move-In: The exhibit area is open for set-up from 8 a.m. to 5 p.m. daily, Monday, February 1, 2010,
    through Monday, February 8, 2010. Exhibitor and contractor traffic enters gate 6 and exits at gate 19. Special move-in needs should be arranged with expo management prior to Monday, February 1, 2010.
  • Move-Out: All inside exhibitor material must be removed by 5 p.m. Friday, February 12, 2010. Move-out traffic enters at gate 10 and gate 16 and exits at gate 4 and gate 1.

Outside Exhibitors

  • Move-In: The outside exhibits area are open for set-up from 8 a.m. to 5 p.m. daily, Monday,
    January 25, 2009, through Monday, February 8, 2010. Exhibitor and contractor traffic enters gate 6 and exits at gate 19. Note: The grounds are vacated at 5 p.m. daily.
  • Move-Out: All outside exhibitor material must be removed by 5 p.m., Friday, February 19, 2010. Move-out traffic enters at gate 10 and gate 16 and exits at gate 4 and gate 1.

Please Note

All items left on the show grounds after the move-out deadline, without permission, will become the
property of World Ag Expo.

Parking

For drop-off/pickup at West Gate #2 park at

  • Preferred Outlet Mall in Tulare
  • Tulare Airport at Avenue 200

For drop-off/pickup at East Gate #12 park at

  • Tulare County Fairgrounds on K Street
  • Mid-Valley Cotton Gin at Cartmill & J Street in Tulare
  • First Assembly of God Church at Akers and Caldwell, Visalia

Parking for exhibitors is in all parking areas on the north, south and east sides of the International Agri Center, on a first come priority. Please arrive early to avoid the public traffic. Again, NO PARKING PASSES ARE AVAILABLE. You will be directed by Tulare P.D. to the most convenient parking spaces after traffic gets heavy so as to avoid traffic backup onto U.S. Highway 99.

Northern Exhibit Grounds

If you exhibit in the NORTH HALF of the exhibit grounds (including Pavilion A, B or C), enter through GATE A. Come southbound on Laspina Street or enter Laspina southbound from Mooney Boulevard (a feeder boulevard from Visalia). Enter the eastern-most lanes of Laspina and easily turn into GATE A.

Southern Exhibit Grounds

If you exhibit in the SOUTH HALF of the exhibit grounds (including Dairy Center, Farm Home Arts or Pavilion D), enter through GATE C. Come northbound on Laspina Street or enter Laspina Street southbound from Paige Avenue and stay in the western-most lanes until you get to GATE C.

Eastern Exhibit Grounds

If you exhibit in the EAST HALF of the exhibit grounds, park by entering the east entrance off of
Turner Drive. You may enter Turner Drive from Mooney Boulevard (a feeder boulevard from Visalia).

  • Special efforts are being made at World Ag Expo to ensure that no unauthorized product or
    equipment leaves the grounds.
  • The purpose is to prevent or lessen the potential for loss due to theft. Your cooperation is required. Individuals purchasing products and/or equipment to be carried off premises from your booth must have a completed “tag,” included in this guide, to exit the expo grounds. You may make as many copies as you need for your products.
  • Please pre-stamp your tags, if possible. Be sure to give your customer a completed form so he can
    be allowed to exit without difficulties. We cannot guarantee this will totally eliminate chances of theft, but it will greatly increase our ability to protect you.
  • Additional tags are available from the Exhibitor Registration Center.

Scams – Important Warning

Please be advised that throughout the year you may receive letters or solicitations from companies
such as “The Fair Guide” inviting you to list your company in a catalog or website, stating they are
associated with the World Ag Expo. THEY ARE NOT!!

This is a scam. These are not programs sanctioned by World Ag Expo or the International Agri-Center. We advise you NOT to sign the agreement with these companies. Most of them solicit from foreign locations, so please be cautious when reading the solicitations. Please call the office at (559) 688-1030 or (800) 999 9186. Click here for more information.

Secured Storage Space

Secured Storage Space Centers are located in Pavilion B (inside north end), Pavilion C (inside west end), Pavilion D (inside west end), Farm Home Arts Pavilion (outside north end) and Farm Credit Dairy Center (outside north end).

  • Check-in hours are noon to 5 p.m. Monday, February 8, and 4 to 6 p.m. Tuesday and Wednesday, February 9–10.
  • Check-out hours are 8 to 10 a.m. Tuesday, Wednesday and Thursday, February 9–11.

The Secured Storage Space is for exhibit materials only. Promotional materials are prohibited.

Shipments and Warehousing

All exhibitor shipments are accepted at the World Ag Expo grounds from 8 a.m. to 5 p.m. Monday,January 25, 2010, through Monday, February 8, 2010. All shipments must be prepaid. Please use the shipping labels included in this guide. You may copy the labels and use as many as you need.

All shipments must be addressed as follows:

  • World Ag Expo, 4450 So. Laspina Street, Tulare, CA 93274.

Shipments must be clearly marked with the name of the exhibitor and the space number assigned to the exhibitor. YRC (1-800-610-6500) is the official freight company of World Ag Expo. They can provide all your inbound and outbound freight, as well as advance shipment/warehousing needs.
WAREHOUSE: All shipments via YRC Exhibit Service can be warehoused in Fresno and delivered to the expo site on or about February 1, 2010, unless other arrangements are made in advance.
